Watch out for “Are you available?” email scam

Don’t fall for the email scam that appears to come from a UW employee, asks if you’re available, for your phone number and to buy gift cards. The scammer may try to reach you via email or text message, if you have provided a cell phone number. Visit the Phishing Examples page to view one of these messages and check out our infographic. Recent increase in spam at the UW

The following email was sent to all UW employees.

This message is being sent to all UW employees with approval of the Vice President for UW Information Technology and CIO.
Any amount of unwanted email is frustrating, and I know many people at the University have been seeing an increasing volume of spam over the past few weeks. I want to let you know what UW Information Technology (UW-IT) is doing to address this issue, as well as what steps you can take to help reduce the amount of unwanted email.
The University receives an average of three million incoming email messages per day and about half of those are flagged as likely to be spam. UW-IT uses multiple spam filters to combat this problem. However, spammers are continually inventing ways to circumvent the filters, and we are constantly adjusting our methods to keep the amount of spam that gets through to your inboxes as low as possible, without inadvertently blocking those messages that you do want to receive.
Recently, the University has been targeted by new spam attempts, and the UW community is experiencing an increased volume of spam as a result. In response, UW-IT, in collaboration with UW Medicine, is adding an additional layer of email scanning, as recommended by our security vendor. This solution requires customization that will take approximately one month to implement for an organization of our size, although we do expect to see incremental improvements even during this timeframe.

Beware of phishing emails asking for W-2 information

This message was sent to all UW student employees, faculty and staff with approval from the Vice President for UW Information Technology and CIO.

This email provides important information to help you protect your UW NetID and password from phishing attacks, which increase during tax season. Links are intentionally not included in this email.
How does phishing work?
Cybercriminals try to steal an employee’s login credentials so that they can download Wage and Tax Statements (Form W-2). They then use the W-2 information to electronically file a fraudulent federal income tax return in the employee’s name. By changing the bank account number, the cybercriminals receive the refund.
Fortunately, your vigilance and the UW’s two-factor authentication system (Duo) play a pivotal role in protecting employee data.
How can you protect yourself?

Be skeptical about emails that seem urgent or threaten negative consequences if you do not act.
Do not reply, click links, or divulge personal information or login credentials.
Phishing emails may arrive in various forms. Cybercriminals may use distressing messages to heighten the urgency or they may use logos from well-known companies. In some cases, they may send a simple meeting reminder.

The most secure way to access your University of Washington W-2 is by using the “Sign in to Workday” link found on the Integrated Service Center’s (ISC) website.
If you suspect you’ve received a phishing email disguised as an email from Workday, you can confirm the legitimacy of the message by signing into Workday via the ISC website and double-checking you received the same message in your Workday Inbox or your Workday Notifications.

Do not approve unsolicited requests for two-factor authentication.
Duo is the UW’s two-factor authentication (2FA) system, which adds a second layer of security when you sign into Workday and other University systems. Using 2FA prevents others from signing in as you, even if they know your password.
If you receive an unsolicited sign-in request for Duo, and you have not signed into a system that requires it, do not approve the request. If the request is a phone call, hang up without pressing any button. If it is a Duo Push request, press the “deny” button, and you will be given a choice to report it as fraudulent so that UW Information Technology is notified of the unsolicited push request. Additionally, you should immediately change your UW NetID password to ensure your account is secure.

Use anti-virus software on your computers and devices and keep the anti-virus software updated.
Sophos Anti-Virus Software is available free of charge to all UW students, faculty and staff.

You are receiving this email because you must take action to maintain access to your UW G Suite and/or UW Office 365 account(s). You have been identified as a UW affiliate or have a Sponsored UW NetID with an associated UW G Suite (Google) and/or a UW Office 365 (Microsoft) account, which includes a UW email account and other UW G Suite and/or UW Office 365 productivity tools. Please read below for more information.
As announced in December 2017, the UW is modernizing its email and productivity platforms in order to provide current students, faculty, and staff with the latest email and productivity tools, to facilitate compliance, and to protect sensitive data.
As part of this project, we have changed the way UW G Suite and UW Office 365 accounts (which include a UW email account and associated productivity tools) are provisioned for UW affiliates and Sponsored UW NetIDs. To maintain access to your UW G Suite and/or UW Office 365 account(s), you must ask a current UW employee to provision access on your behalf, using the Provisioning Request Tool (PRT). If a current UW employee does not provision access to your account(s) using the PRT before February 12, 2019, your account(s) will be deactivated and all content (email, contacts, files, folders, etc.) will be permanently deleted.
Please note that your access to UW G Suite and UW Office 365 lasts for one year and must be approved annually by a current UW employee. As part of the provisioning process, you must accept the Appropriate Use Agreement, thereby agreeing to use UW G Suite and/or UW Office 365 in accordance with UW Appropriate Use policies.
IMPORTANT:
• UW G Suite and UW Office 365 accounts associated with UW affiliate and Sponsored UW NetIDs that have not been provisioned using the PRT will be deactivated and deleted as of February 12, 2019
• UW affiliate and Sponsored UW NetIDs and email addresses are not being deactivated or deleted

You have been identified as an owner or administrator of one or more Shared UW NetIDs with a UW G Suite and/or a UW Office 365 account, which include UW email and other UW G Suite/UW Office 365 productivity tools. Please read below for more information.
As announced in December 2017, the UW is modernizing its email and productivity platforms in order to provide current students, faculty, and staff with the latest email and productivity tools, to facilitate compliance, and to protect sensitive data.
As part of this project, UW-IT has changed the way UW G Suite and UW Office 365 accounts are provisioned for Shared (Departmental or Course) UW NetIDs. This change impacts both existing and new UW G Suite and UW Office 365 accounts (which include UW email and other UW G Suite/UW Office 365 productivity tools) associated with Shared UW NetID(s).
Activation of any new UW G Suite and UW Office 365 accounts associated with Shared UW NetIDs must now be completed through the Provisioning Request Tool (PRT).
Additionally, all existing UW G Suite and UW Office 365 accounts associated with Shared UW NetIDs must be re-provisioned by the owner before February 12, 2019 using the PRT. Existing accounts not re-provisioned before this date will be deactivated and all content (email, contacts, files, folders, etc.) will be permanently deleted.
As part of the provisioning process, you must accept the Appropriate Use Agreement, thereby agreeing to use UW G Suite and/or UW Office 365 with the Shared UW NetID in accordance with UW Appropriate Use policies.
IMPORTANT:
